Retention Schedule Manager

Retention Schedule Manager  is a Windows-based editor and database manager designed to assist with the development and maintenance of local retention schedules. Developed by Intersect Systems Inc. of Texas, RSM is available in three versions: RSM Standard, RSM Plus, and RSM Master, depending on your needs. (Some features described are only available in Plus or Master versions.)

Windows 95, 98, ME, NT, 2000, and XP Compatible with Windows 95, Windows 98, Windows ME, Windows NT, Windows 2000, and Windows XP, RSM is designed to provide extensive and convenient information to the Records Management Officer. RSM does not attempt to make decisions, but rather to support the RMO through convenient access to a large variety of on-line summaries and printed report options.

Load Intersect-Published Retention Schedule Masters from Diskette Intersect Marketing offers existing retention schedules for Florida, Texas and Georgia on diskette for use with the RSM series of software applications. As revisions and updates to these state schedules are approved in Tallahassee, Austin, or Atlanta, Intersect offers the updates on diskette to RSM users. In addition, Intersect publishes Clarks Encyclopedia of Records Retention on diskette for a wide range of local government and business users of the RSM software series. Texas schedules available from Intersect Marketing include: CC, DC, EL, GR, HR, JC, LC, PS, PW, SD, TX, and UT schedules. Georgia schedules include county and municipal governments, with others to follow. Florida schedules available from Intersect Marketing include GS1 through GS13.

Create Your Own Schedule Items Users of RSM software can also create, edit, and revise their own items, or build an entire schedule directly, using the keyboard and text editing functions provided in the RSM software. Output is formatted automatically, and sort functions operate just as with Intersect-published schedules for Texas, Florida, Georgia, or for Clarks Encyclopedia of Records Retention. RSM eliminates the hassle of trying to use a word processor for developing, formatting, and printing local retention schedules.

Create Local Schedules with Point-and-Click Ease Once you have loaded master schedules from diskette into RSM, or entered your own custom schedule items, you build your own local schedule by pointing and clicking on the items from the displayed master scheduled that you wish to add to your local schedule.

View the local schedule in RSM on your computer display as you build it; and print out a copy for review as often as you like. Abbreviated summaries are available of both loaded master schedules, and your local schedule.

What You See is What You Get Preview your cover page and local schedule pages on-screen, just as they will appear when printed, with the WYSIWYG preview display.

Create Multiple Sub-Sets of Local Schedule With RSM Plus, after you create a local schedule, and after the local schedule is approved, you can then create as many sub-schedules as you like, using items from the local schedule, by simply creating and naming each sub-schedule, giving the sub-schedule a name, and then pointing and clicking on items in your completed and approved local schedule that you want in each sub-schedule. For departments within your organization, you can provide them with a subset of the complete local schedule containing only the items that apply to particular departments. Further, when you modify the local schedule, such as by extending a retention period, the changes are automatically reflected in each sub-schedule you have defined.

Create Multiple Different Local Schedules With RSM Master, you can create multiple local schedules — each a completely separate, independent schedule. Modifications to one local schedule do not affect other local schedules. RSM Master is designed for large organizations that need more than one local schedule.

Revise Your Local Schedule You can easily revise the local retention schedule you have created as often as necessary by adding or deleting times — again, with point-and-click simplicity — and then printing out amended schedules and sub-schedules.

Backing Up Data Backups and archiving of data files are supported through a variety of options, including on-line storage on hard disks and write-able optical media, and off-line storage to diskettes, tape cartridges or optical media. Zip and Jazz drives are supported as well as other similar external hard drive devices.

Publish Local Schedule in Hard Copy or Electronically Publish local schedules and sub-schedules you create either through printing hard copies for distribution, or by printing hard copies of departmental sub-schedules for distribution. Or, publish your schedules and sub-schedules electronically on diskette. Several RSM Viewer software options allow local schedule and sub-schedules to be distributed by diskette or local area network to computer stations running RSM Viewers, where they can be viewed but not changed.

Automatic Cross-References for Local Schedules When you print a local schedule or sub-schedule, both numeric (by item number) and an alpha (by title) cross references are automatically generated.

Easily Transfer Local Retention Schedule To RCAMS A unique feature of the RSM / RCAMS combination is the interactive operation with Intersect Marketing’s Records Control and Management System (RCAMS) software applications. A user can develop and maintain a retention schedule with RSM , and can import the retention schedule into RCAMS after it is created, or as it is modified and updated. When creating entries in RCAMS for stored records, RCAMS will query the current retention schedule and display the current item, as well as descriptions, comments, and destruction parameters and authority.

Convenient Encoding of Destroy Dates Using user-supplied codes, RSM will automatically insert a destroy date into the appropriate field. An associated date calculator makes any necessary destroy date calculations or modifications quick and easy using point-and-click operations. Functions with local schedules imported into RCAMS.

RSM Output Approved by Texas State Library The Texas State Library and Archives Commission has approved the computer-generated output format from Intersect’s RSM software applications as an approved SLR 500 Substitute; as a result, users of RSM software in Texas can submit their Retention Schedule computer output from RSM Standard, RSM Plus, or RSM Master directly to the Texas State Library and Archives Commission for local schedule approval.

Intersect’s Software and Master Schedule Update Service Intersect offers reasonably-priced annual support programs to RSM Users. Automatic updates of RSM Standard, Plus, or Master software applications, as well as updates to Texas or Florida state retention schedules as changes, updates, or new schedules are approved, are available from Intersect for a fixed annual support fee.
