Hillsborough County Tax Collector's Office

One of the newest installations of Intersect Systems’ records management software is in the Hillsborough County Tax Collector’s Office in Tampa, Florida.

Located midway along the west coast of Florida, Hillsborough County includes an area of over 1,000 square miles, with a population approaching one million people. The Hillsborough County Tax Collector collects property taxes in excess of $900 million each year, and processes over 1 million motor vehicle transactions per year.

Tampa, the largest city in Hillsborough County, is the financial and insurance hub of western Florida. The Port of Tampa is the largest deep water port in Florida, and is a major passenger departure point for several cruise lines, generating 93,000 jobs and $10.6 billion in gross revenues annually. Port industry pays over $2.7 billion in wages and $1.3 billion in taxes annually.

The Hillsborough County Tax Collector’s office (HCTC) recently selected Intersect Systems software for use in its records management operations. HCTC is running network versions of Retention Schedule Manager Plus (RSM) and Records Control and Management System Plus (RCAMS) on six stations at the downtown Tampa County Center offices, and on six remote locations in tax offices throughout Hillsborough County. Current connections are with a T1 Wide Area Network, although current plans are to move the system to their Citrix server in the near future.

Dale M. Hoffman, Assistant Director, Motor Vehicles, in the Hillsborough Tax Collector’s office, has this to say about Intersect Systems’ retention schedule management and records management software: “The RSM/RCAMS system is a great improvement over our old system. What used to be a difficult manual task is now done with a click of a mouse. Everyone is excited about the new system.”

Prior to 1993, HCTC used a paper and pencil records management recording system in a store-room operation, and also utilized some outside data-storage vendors. In 1993-94, this paper-based system was replaced with a database system on their VAX computer system. Hoffman describes the VAX database as "a big step forward, but still an antiquated approach to records management.”

Hoffman adds, “In 1999, Hillsborough purchased the Intersect RSM / RCAMS software, making HCTC records management quicker, easier, and more accurate than ever before.”

HCTC currently has two records warehouse locations, but will shortly be merging them into a single location. The new warehouse is a 6,600 sq. ft. facility with mezzanine shelving, and will house approximately 2,500 records containers as well as office supplies and tags. Hoffman stated that the Intersect Systems software will help facilitate the transition to the new facility.

According to an Intersect spokesman, the installation on the Hillsborough County Tax Collector’s Office Wide Area Network currently represents the most extensive LAN / WAN installation of RSM and RCAMS.
